UAE buyer guide

How to request a quote for construction materials in the UAE

A useful request for quotation (RFQ) gives the recipient enough detail to understand what you need, how much, where, and when. Use this guide to assemble the brief before sending it; clear inputs help avoid preventable back-and-forth but do not guarantee a response or a quote.

Start your construction-material RFQ

Before you send it

Build a complete RFQ, one decision at a time

  1. Name the material and define the specification

Describe the material or product clearly. List the technical requirements that are mandatory, and separate them from preferences or acceptable alternatives. Refer to the relevant project document and revision where that is how your team defines the requirement.

  2. State the quantity and unit

Give a quantity for each line and name its unit. Keep different materials, specifications, or delivery phases on separate lines. If a quantity is provisional, label it as an estimate instead of presenting it as confirmed.

  3. Pin down the project delivery location

Include the project emirate and the delivery site or location. Add any practical receiving details that could affect the delivery arrangement, such as access limits, delivery points, or unloading requirements.

  4. Set the required date or delivery sequence

State when the material is needed. For phased requirements, list quantities and target dates by delivery rather than combining them into one total without a schedule. Flag any date or sequence that is critical to the project.

  5. Attach the documents needed to interpret the request

Where relevant, include the drawings, bill of quantities, material schedule, or other submittals that define the scope. Identify each file and revision, and state what technical documents or submittals you need with the response.

  6. Make the commercial response comparable

Ask respondents to identify currency, whether taxes are included or excluded, delivery and unloading scope, payment terms, quote validity, exclusions, and any proposed substitutions. This makes differences visible without assuming terms are the same between quotations.

Quick final check

  • Every material line has a clear specification, quantity, and unit.
  • The project emirate, delivery location, required date, and any sequence are stated.
  • Relevant drawings or submittals are attached and revisions are identified.
  • Commercial inclusions, exclusions, and requested response details are explicit.
  • Any estimates, open questions, or acceptable alternatives are labelled.

A complete brief helps recipients assess what is being requested; it cannot establish supply, pricing, suitability, or delivery until those details are confirmed directly.
